PROPERTY DATABASE

Qube is based around a comprehensively featured and flexible database for recording core owner, property, unit and tenant information. The logical structure effortlessly lends itself to ease of configuration and user understanding, and provides fast access to information via intuitive screen layouts and powerful navigation features.

Flexible reporting is crucial to your business, and Qube is supplied with a huge array of standard reports. You can create client specific reports via the fully integrated Report Wizard.

A fully integrated diary system is also included, and items are automatically
created for events such as rent reviews or lease expiries.

HELP DESK & PLANNED MAINTENANCE
Help Desk & Planned Maintenance module means you can organise the maintenance of your properties and assets by recording schedules of planned jobs and the logging of calls for reactive jobs.

TENANT APPLICANT
This module is suitable for commercial and residential situations where you need to match enquiries to available units within your portfolio.

MAPS GATEWAY
Maps Gateway links your properties to locations on any number of maps.

PROJECT MANAGEMENT
The Project Management module allows you to manage complex projects from conception to completion.

RATING ANALYSIS
Rating Analysis helps property managers and rating surveyors lodge and track non-domestic rating appeals.

UNIT LEVEL EXPENDITURE
Unit Level Expenditure means you can post expenditure from the Purchase Ledger directly against a unit, while it stays within the overall expenditure of the property.

TURNOVER RENTS
Charge turnover rents as a percentage of the actual turnover or gross income.

HAZARDOUS MATERIALS REGISTER
Hazardous Materials Register helps you to record and manage hazards within properties in order to assure the safety of your staff and contractors, and to comply with legislation.

RENT CARD
Rent Card streamlines management and collection of residential rents. You and your tenants can get accurate details that conform to the requirements of the Rent Act.

METER READING
Meter Reading module manages building services that are charged to an owner and then recharged to the tenants according to the consumption recorded on individual unit meters (for example gas, electricity, water, etc.).

TENANT PORTAL
The Tenant Portal provides tenants with round-the-clock access to information regarding their balance, transactions or service charge position. This can easily be branded to suit.

REPORT WIZARD
Report Wizard is easy to use – it has drag & drop functionality and links to MS Word and Excel as standard. It also has the unique ability to drill back into the data for enquiry and updating.

DOCUMENT MANAGER
Document Manager integrates seamlessly into other Qube modules. It provides fast, efficient access to documentation, reducing the need for paper files.

WORKFLOW
Workflow means you can define process flows for your individual business requirements instead of being restricted to pre-set definitions.

CENTRAL SECURITY
Central Security helps systems administrators to manage complex user security requirements effectively. You can configure all users and their respective rights within all modules from a single point of entry.

CUSTOM SCREENS
Notes Designer lets you create screens to display information in ways that are entirely relevant to your business. These can be attached to more than one module, and at any level you choose. The design templates are easy to use and it doesn't take long to create new data fields.

LOGGING
This module allows you to track details of all records created, amended or deleted. Logging meets the stringent requirements of internal audit departments.

ARCHIVE
Archive allows information from the core modules to be ‘moved’ from the live data into an archive area.

INVOICE REGISTRATION
Invoice Registration is for organisations that receive and circulate invoices for authorisation and approval.

ORDER PROCESSING
Order Processing produces a supplier’s order form authorising specified work and raising an invoice.

GENERAL LEDGER (MULTI CURRENCY)
General Ledger fully integrates with the other QUBE modules. Get seamless consolidation of all movements, transactions and journals produced by the Property Management System, Purchase or Sales Ledgers.

PURCHASE LEDGER
Purchase Ledger records comprehensive supplier details, amounts owed to them and payment dates. It provides all the elements you need to keep tight control of property expenditure.

WORK IN PROGRESS
Work in Progress Ledger sits between the Purchase Ledger and the Sales Ledger to provide comprehensive details of work being carried out on behalf of your clients.

SALES LEDGER
Sales Ledger is designed to handle non property-related invoicing - typically for professional services or supplies.

FIXED ASSETS
Fixed Assets is designed for non-property related assets. It stores statutory accounts headings for analysis of individual assets including the tax pool and class.
